Laying the groundwork: Know your business and audience

Before we create your first Reel, hit pause. Laying a solid foundation means understanding your business and your target market like the back of your hand. When you have clarity around these two foundations, creating successful reels becomes less of a guessing game and more of a well-planned approach.

Incorporate an Instagram Reels strategy that fits

Your Instagram Reels strategy should fit naturally into your overarching marketing strategy. Hence, the first step is to create a written marketing plan that’s well-researched and thoughtfully constructed. You’ll find a complete outline for your marketing plan on this site. At a minimum, your marketing plan must include:

  • A situation analysis built on internal and external data that summarizes the current situation in your market. You want to include internal data about your products, pricing, and distribution strategies, as well as results from your advertising campaigns. You should include external data that helps you predict future plans that will bring success.
  • Goals and objectives for the next 12 months, plus long-term goals.
  • Plans for the next 12 months that are designed to help you meet both short and long-term goals. Include KPIs (key performance indicators) that you’ll monitor and analyze to determine whether your strategies are working and allow you to tweak them to improve performance.
  • Financial projections, including a Pro Forma Income Statement, Balance Sheet, and Statement of Cash Flows.
  • A timeline and deliverables.
  • Contingency plans.
  • Action plans

Clarify your brand message

Your brand is much more than a logo or colors. It’s how people perceive you and what they remember about you online. Start by asking yourself what makes you unique among others. We refer to this as your unique value proposition, and no business can succeed without one that effectively meets the needs of its target market. Write down three words that represent how you want people to feel about your business. Maybe it’s fun, helpful, or trustworthy. Keep these words close to you when dreaming up content.

Try using this framework to solidify your brand messaging:

  • Write your business promise in 1 or 2 sentences.
  • Compile the key values that you stand for, like integrity, creativity, and warmth. Evaluate your previous posts. Do they reflect what you want your business to be known for?

Now, build your Instagram Reels strategy around this framework.

Define your market’s interests and pain points

When you understand your market, your content can hit the mark. Begin by considering your most valued customers or followers. What do they care about? What makes them double-tap, comment, or share? Pay attention to what keeps appearing in their direct messages or comments. Build personas like the ones below to reflect each segment of your market.

Make a note of what keeps appearing by taking down:

  • Questions people ask you in DMs or comments
  • What receives the most likes, saves, or replies in your feed
  • Feedback or testimonials that describe what they like (and what they don’t like) about your product or service
  • This will help you identify patterns that will enable you to create Reels that address real needs, rather than just guessing what people want.

Use notes and templates to organize

Great ideas come at odd times. Use your phone notes, Google Docs, or a simple journal to record them. You might also want to make your Reels with a quick template or outline. There could be a checklist or a basic script:

  • Hook (something that grabs attention fast)
  • Middle (what you want to share, teach, or show)
  • Takeaway (what you want them to remember or do)
  • By outlining, you can have a system to keep your ideas organized and have them for you so you don’t have to rush when it’s time to film.

Observe what already works

When finding trends, you don’t need to veer from your style. Use the Reels that your audience already engages with as a reference point: Are they funny, educational, inspirational, or quick tips?  Make a quick list containing:

  • Topics and sounds in Reels and popular on your feed
  • Hashtags are being followed by your audience.
  • Comments left by followers on trending videos.
  • With these notes, you can keep your Reels ideas within your brand voice while using engaging user-generated content and trends to inspire you.

Creating reels that connect

A significant part of your Instagram Reels strategy involves creating Reels that resonate with your target market. That isn’t luck or intuition; it’s about having the right plans, a solid message, an established style, and a few creative manipulation tricks to capture people’s attention. The next section of your Instagram Reels strategy explains how to plan your content and maintain a production level that is simple enough for people to remember both your Reels and your business behind them.

How to plan your content calendar

Consistency is essential for a successful strategy. A content marketing calendar is a valuable tool for ensuring a regular posting schedule by identifying topics and resources for multiple posts, making it easy to create content when needed. My template (available for free download) focuses on various platforms, target market segments, funnel stages, and the resources required. You can even add an approval to the process to avoid unfortunate posts.

How often should you post?

You should aim for 3 to 5 Reels each week. This pacing provides enough opportunities to get in front of people, explore, experiment, and not experience burnout. If you are just starting out, choose specific days (for example, Monday, Wednesday, and Friday) and stick to them consistently.  The point is to establish a routine that you can maintain during your busy life.

A simple way to look at the content of your Reels is in the following buckets:

  • How-to tips and fixes: Offer some easy wins, how-tos, and behind-the-scenes “secrets.”
  • Product spotlights: Tell just what is special about a new item or service!
  • Customer stories: Show reviews, user-created stories, or highlights of your community.
  • Day-in-the-life moments: Let people into the human side of your brand.
  • Fun challenges or series: Create a weekly Q&A, “myth-busting” videos, or staff picks.

The series encourages followers to come back for more. Try something like “Tip Tuesday” or a Friday FAQ series! When followers know that there is something for them to learn on certain days, they will look forward to new posts; your Reels will feel more like something special rather than just scrolling through another video in their feed.

Action step: Schedule a 15-minute planning session for each week. Whether you use a phone calendar app or work in a printed planner, write down your video ideas and note which content could be developed into a series. You will reduce stress by being organized and feeling that posting is a regular practice after all!

Shooting, editing, and adding finishing touches

You won’t need a set of fancy lights, a pro camera, or a big budget to create Reels that are sharp and true to your small business; what you need is consistency and clarity!

How to achieve consistency and clarity for the content of your Reels:

  • Select a location with a steady light source. Natural light from a window or a desk lamp is gold.
  • Be true to your style. Use the same colors, filters, and text styles consistently. This creates a visual signature even before a user can see your face or logo.
  • Shoot vertical videos! Film in a vertical mode all the time, so your Reel fills the screen.
  • Editing gives your Reels their personality. Don’t overthink it; Instagram provides everything you need.

Here are the primary editing considerations:

  • Trim out all the boring stuff. Keep your clips tight, along with fast transitions. Most Reels that keep people’s attention are extremely short (under 30 seconds).
  • Add text captions that are readable/follow a color scheme. Not everyone watches with the sound on. Use Instagram’s text tool to create readable captions that are big enough to be clear.
  • Use trending sounds wisely. Use popular music and/or sound clips for your Reels, but only if they fit with the message you’re conveying. Keeping up with trending sounds helps increase your reach, but also keep your brand’s tone in mind.
  • Add effects and stickers. Experiment with basic effects that enhance your message (instead of detracting from it). Subtle motion, arrows, and stickers featuring your small business work well.
  • Double-check your finished video. Always review your Reel before posting it to check for typos and ensure it has a smooth flow.

Using small details to increase engagement:

  • Make sure you hook your audience in the first few seconds – make it a “don’t scroll moment.”
  • Use clear calls to action to engage your audience – “watch till the end,” comment and tell us your favorite, and save for later.
  • Include identifiable branding in the bottom corner for easy recognition.

With anticipation in terms of planning, along with the simple use of tools, you will develop a style that is recognizable (and easy for people to love). Every single Reel adds another stroke of the brush to the larger canvas of your small business.

growing your Instagram audienceConclusion

UI has concluded that success with Instagram Reels does not mean chasing every trend or posting randomly. You intentionally build growth to reveal who you are and what makes you unique. You gain followers when you show up with intent, try new things often without worrying about what people think, and listen to what truly resonates with your followers. Keep your messaging clear and continue to be true to what makes you unique and different; then, stay consistent with your Reels!

Reels will work best for your business when it is a continuous and thoughtful part of your brand’s story. Start small, learn as you go, and trust the process. Your next Reel has the potential to get people talking and bring fresh faces into your community.
