The problem, of course, is that for at least some of these packages, you are looking at a significant outlay. Before you commit to the flashiest, most recent piece of technology, it’s well worth doing some background research.
You might start by sitting down with your team and asking them what they need that might make for a more effective marketing software solution. You’ll probably end up with a variety of answers, so make a note of any common themes that you find recurring.
Consider the following problems encountered by most small businesses, then determine which marketing software tool you need for each category. - CRM or customer relationship management. This is an all-in-one solution that combines email marketing, lead scoring (depending on the tier chosen), sales management, and sales management coordination. This marketing software helps you build and maintain relationships with customers and prospects.
- Email marketing offers a stand-alone solution if you only need to send email messages, without the extras offered by a CRM solution.
- Content creation and branding involve time-consuming tasks you must perform on a daily or even hourly basis. If you don’t have a staff of writers and designers with marketing expertise, you’ll find these tools invaluable in your efforts to stay ahead when it comes to content creation.
- Getting found online requires harnessing SEO (search engine optimization) and GEO (generative engine optimization).
- E-commerce management is a category required if you sell online.
Another useful activity is to audit all the current software you run. Is everyone using the same package? Are they even using it in the same way? - HubSpot is a great tool designed for small businesses. They offer a free tier with limited functionality. HubSpot provides the answer. Founded way back in 2006, this company offers a less in-your-face approach to marketing, looking carefully at customers’ needs and how they prefer to be approached. They prefer a less traditional approach to marketing, focusing on personalized strategies and finding methods that people love and will almost certainly respond to, whether that’s a blog post or direct email. The main drawback is the pricing, which escalates quickly.
- Zoho CRM is a good alternative for businesses that need a less expensive option that still allows for deep customization. It offers great value for the money and integrates with other software solutions they provide. The downside is the steep learning curve.
- MailChimp is another old favorite and we can see why. Like other similar platforms, it gives users the opportunity to A/B test and sends out test emails before committing to a mailout. It also has plenty of options when it comes to templates, from the very straightforward-looking to the more complicated in design. A tried and tested piece of marketing software that has stood the test of time. The free tier is limited (and getting more so), while customer support at lower tiers is challenging.

It allows you to schedule a week or a month’s worth of posts, then send them out on a schedule recommended through learning and AI to optimize engagement. It, however, doesn’t offer the analytics that other platforms offer, such as social listening and competitor analysis.
- Canva is great if you need help with visual marketing. It makes it easy to ensure consistent branding across content and helps you design attractive and informative visual content, including short videos. While it’s not as powerful as similar Adobe tools like Photoshop and Premiere Pro, it is easier to learn. However, this can result in your content looking cookie-cutter. The pro version, which you need for more flexibility, is around $120/ year.
- Semrush offers SEO and simplified GEO tools. You can glean competitive insights and manage your PPC (pay-per-click) campaigns. It’s a little pricy for a small business and it requires a certain sophistication with data analytics to make sense of the vast amount of data offered.
- ActiveCampaign is another marketing automation tool that focuses on personalization. It offers built-in CRM and visual automation, while allowing firms to personalize messages. The complexity of the software means you’ll spend a lot of time learning how to use it effectively after an initial complex startup.
- Klaviyo is a great e-commerce solution if you run a store on your website. It integrates with e-commerce platforms like Shopify, offers excellent reporting, and advanced SMS (short message service) marketing. It’s a little pricy, as the price increases as your customer list grows.
- Tidio is a good solution when you need to engage with customers and nurture leads. It combines AI chatbots and captures leads without a human. It’s great for increasing your lead conversion rate, but many of the best features are hidden behind a paywall that makes it too expensive for many small businesses.

- Salesforce is a top CRM platform that grows with your business. It’s built for enterprise businesses, but offers a free and a low-cost option (currently $25/month). Once built, the software is easy to use, but it takes a while to set it up properly. One downside is that it charges a per-seat fee, which means you pay the same amount per month for each user.

Courtesy of Salesforce - Adobe Express is an alternative to Canva and a less expensive option compared to other Adobe products. It’s also easier to learn. It offers a free tier, with limited functionality.
- Hootsuite is an alternative to Buffer and works similarly. It also offers a free tier. The downside is that it’s less functional in terms of analytics and is a little wonkier to use, in my experience.
- RankMath SEO works with your website to help ensure your content shows up near the top of search results pages and even helps with brand mentions within AI tools.
- Unbounce is great for building those all-important landing pages to maximize your conversion rate.
- Google Analytics offers a free option that helps you analyze market performance across your website, Google Play Store, and Google Ads to provide an integrated view of your marketing performance. Customized reports and dashboards make it easy to keep track of all your data in one place. The learning platform helps you make the most of this marketing software.
- AI tools are controversial, but essential for reducing your content creation efforts. I use Google’s Gemini to create first drafts and images, but I NEVER publish the results without careful editing based on my experience, expertise, and training. I find it helps me organize my thoughts and helps ensure I don’t miss key points that I should include in a post.
- While not strictly marketing software, you should also consider project management software in this category, as marketing involves complex steps and coordination across departments, especially in new product development, distribution, and sales. Here, there are lots of options from Adobe’s enterprise tool. Monday is an alternative that’s affordable for most small businesses and is easy to use. Trello is great because it offers a visualization of your projects. I’ve used both and find them easy to use and powerful.

I use Adobe Premiere Pro, but it’s expensive, hard to learn, and likely overkill for this type of video. You can use the video editor built into TikTok or Adobe Express for short video clips. You can also use iMovie if you own an Apple product, but I find that these videos look very unprofessional. You don’t need commercial quality, but your video should look professional. Capcut is a low-cost alternative.
